Car club bookings: choose your route

Route A: members book individually

  1. Agree the details. The coordinator establishes the club name and chosen show using that event’s registration instructions.
  2. Each member books their place. Sign in to the appropriate account, select the event and choose the club where a club-selection field is offered. If it is not offered, follow the event’s instructions rather than assuming the booking has been linked.
  3. Confirm attendance. Members check their entry details and save their tickets. The coordinator confirms the final attendance information with GBMS by the deadline supplied for that show.

GBMS reviews existing club booking reports and collates final numbers before each show. A membership, a show selection and a confirmed event booking are not interchangeable; use the event’s confirmation as your reference.

Route B: the coordinator buys and transfers eligible tickets

Wallet features are being introduced in stages. Use ticket transfers where available in your account and follow your event’s current ticket instructions. The phone illustrations above explain the journey; they are not live app screenshots.

  1. Book the right admissions. Confirm the event, entry types, vehicle requirements and quantities. Do not assume one QR covers the whole group.
  2. Invite the right people. When transfer is enabled, choose the individual eligible ticket and use the recipient’s GBMS account email. Check it carefully before sending; do not share account passwords or QR screenshots.
  3. Check acceptance and readiness. Each recipient accepts the invitation while connected and saves the ticket on their own phone. The coordinator checks which invitations are still pending and resolves them before the show.

Ticket transfers do not transfer a person’s annual membership, override event entry rules or guarantee a club display space. Transfers and acceptance need a connection. After acceptance, the recipient uses the ticket and the sender must not use the old copy.

Before the organiser’s deadline

  • Check the confirmed show and club name.
  • Reconcile confirmed admissions, not just invitations sent.
  • Resolve cancellations, duplicate bookings and unaccepted transfers with GBMS.
  • Confirm vehicle numbers separately from people or tickets where the organiser requests both.
  • Share the official arrival time, entrance, route and club-display instructions.
  • Ask everyone to open their saved ticket before leaving home.

Club booking FAQs

Does club registration reserve our display space?

Not by itself. Follow the chosen event’s acceptance and booking requirements; only the organiser can confirm your space and arrangements.

Can members arrive separately?

Each person should have access to the ticket that covers their entry. Separate arrival remains subject to that event’s entry and club-display arrangements.

Who collates our club numbers?

GBMS runs club booking reports and collates final numbers ahead of each show. Follow the event’s booking instructions so your club is recorded correctly. This does not imply a live totals dashboard is available to coordinators.

What if a member does not accept their invitation?

A pending invitation is not a completed transfer. Follow the status and available actions in the wallet, or ask GBMS for help before travelling. Do not issue a screenshot as a substitute.

Does Associate membership mean free club entry?

No. Associate membership costs £18 a year and gives the named member up to 40% off their own eligible show entry. It does not discount guests’ tickets or the whole club booking. The available saving and conditions vary by event. Masters of Motoring at Longleat is excluded.
